We understand that:
•I am/we are personally responsible for my/our golf day and will ensure that a responsible person remains at the function until the last guest has departed.
•I am/we are responsible to settle the account in full in accordance with the payment terms laid down by Seasons Golf Club.
•I am/we are responsible for any damages caused by myself/ourselves or any of my/our guests at the Seasons Golf Club premises or property belonging to the Seasons Golf Club.
•Children under the age of 12 years must be under responsible adult supervision for the duration of the function.
•Seasons Golf Club does not accept responsibility whatsoever for any loss of life or loss or theft of cash, bags, keys, clothing, clubs, valuables, or any property whatsoever, or for damages or loss of any vehicle in the car park or in the public areas around Seasons Golf Club, nor for any damage or injury to any person.
•Caddies are not employed by Seasons Golf Club itself but are contracted by golfers who might require their assistance when playing golf. The safety of personal effects is the responsibility of the player.
•Seasons Golf Club will not accept responsibility for any damage to property occasioned by any act or omission of any player or guest nor for any damage whatsoever caused by any act or omission of any Seasons Golf Club members, guests, staff, or agents.
•Seasons Golf Club will not be responsible for safekeeping of any property or goods brought onto the property by yourselves or your suppliers or agents.
•The venue may only be available two hours before the function or earlier by prior arrangement.
•I am/we are responsible to remove all goods brought on to Seasons Golf Club property immediately following the function or not later than 10h00 the following day.
•I/we accept that Seasons Golf Club may remove any goods not removed by 10h00 the following day and that Seasons Golf Club will not be held responsible for the safekeeping thereof unless by prior arrangement.
• A 10% gratuity on all food and beverage will be charged in anticipation that you will receive excellent service on the day. This will be added to your final invoice. If you have any queries, please speak to the Golf/Events Co-Ordinator.
• Smoking is permitted only in designated areas.
• Amplification of music must always be monitored within tolerable limits.
• Bad weather/lightning storms – one siren blast means that it is compulsory to take cover. Two siren blasts indicate that play can continue.
• No outside beverage or food will be permitted onto the premises, unless specific to sponsor/water holes – see details below.
• No liquor can be purchased or consumed by guests under the age of 18.
• No variation of any of these terms and conditions shall be valid unless agreed to in writing by both parties.
A-frame and freestanding banners are permitted. Under no circumstances may pegs be driven into any green including the practice putting green. No branding shall be erected without supervision.
• Banners/signage/branding must be packed, labelled, and delivered to the club the day before the event, by 14h00, and removed immediately after the golf day, or collected before 10h00 the day after.
• The club will not be held responsible for any safekeeping of branding.
• Starting times must be strictly adhered to.
• All players are required to keep up with the speed of play. The round should be completed in a maximum of five hours.
• No private motorized, ride-on carts are permitted without prior permission. No person may drive a golf cart unless they are in possession of a valid driver’s license, motorbike license or provisional drivers license.
• If a golf day must be postponed as a result of weather conditions such as severe rainfall, an alternative date will be provided suitable to both the organizer and Seasons Golf Club.
I hereby acknowledge the debt and any interest that may be charged for this event.
I further acknowledge that there are no defence to the amount owed or any credits or set-offs against the amount owed.
I further confirm that I am authorized to enter any confessions of judgement where permitted by law against me for the amount owed.
I/We accept that:
• To secure your golf day, a 50% deposit is payable within seven (7) days of booking your date.
• The balance of the payment must be paid no less than seven (7) days before the event, unless otherwise agreed to by the Seasons Golf Club Management.
• The final number of golfers participating, and carts required must be confirmed in writing seven (7) days prior to the event.
• Seasons Golf Club has the right to cancel any golf day bookings if the payment has not been made within the, above, stipulated dates
• Non-arrivals and cancellations will not be refunded on the day of play.
• Seasons Golf Club will prepare a final invoice for your company. Should the final invoice be less than the original invoice, Seasons Golf Club will refund your company; alternatively, your company will be liable to settle the invoice within seven (7) days of the invoice being issued.
• I am/we are responsible for all sponsors costs incurred at the event.
• No telephone cancellations will be accepted.
• Cancellation notices received will be handled as follows;
– Notice received between 20 – 30 days prior to the event, 25% of the deposit will be forfeited.
– Notice received between 15 – 19 days prior to the event, 60% of the deposit will be forfeited.
– Notice received less than 15 days prior to the event, 100% of the deposit will be forfeited.
• Seasons Golf Club will supply list of drinks and snacks available for purchase.
• A maximum of six watering holes will be allowed on the course. Applicable watering holes will be provided.
• R500 corkage fee is payable per hole if own alcoholic beverages are supplied and brought in for watering holes.
• Companies that supply their own drinks will also need to supply their own equipment and ice.
• Sponsors will only be allowed to travel in and out the golf course when accompanied by a Seasons Golf Club representative.
• A list of sponsors and requirements to be supplied to Seasons Golf Club seven (7) days prior to the event.
• A representative of the sponsor, for the duration of the field passing through, must be stationed at the sponsored watering hole to man the hole.
• All advertising material/banners are the sole responsibility of the sponsor.
• Kindly note: all Sponsored Water Hole-related costs will be invoiced to the main account
For those occasions when the companies/charities want the course all to themselves, we offer a SHOTGUN start for groups of 80 players or more!
Seasons Golf Club has strict rules and policies when booking this type of event (as the number of players involved essentially closes the course to other golfers), which may include one or more of the following:
There must be a minimum number of 80 players. If this minimum cannot be met, the club may open the field for morning bookings.
Deposits for this type of event will be 100% of the total green fees due.
These events will be restricted to being held on Saturdays.
• Seasons Golf Club has 38 carts available, seating two players only.
• Cart-hire fees per cart – R380
• Golf carts must be reserved.
• Golf carts booked are the responsibility of the drivers of the cart and all drivers are to sign an indemnity document with the Golf Operation staff prior to receiving the key. If a cart is damaged, the driver/company will be held liable for repairs.
• Should you require additional carts you may contact our Golf/Events Manager who will provide contact details of the companies that rent out carts for the day.
• Final numbers must be confirmed seven (7) DAYS PRIOR to the golf day.
• The minimum caddie fee is R250 which includes a meal and caddie administration fee.
• A tip, paid to the caddie directly, is optional and payment for caddies will be for the players own account unless otherwise arranged by the sponsor of the day or Seasons Golf Club Management.
• Caddies are not employed by Seasons Golf Club itself but are engaged by golfers who might require their assistance when playing golf.
• The safety of personal effects is the responsibility of the player.
• No outside caddies are permitted on the course.
Aspects which will be covered by the Seasons Golf Club team would include the following:
• Confirmation of dates and clarification of requirements for tee off times, catering, caddie arrangements etc.
• Compilation of time sheet.
• Assisting staff with the setup of the registration area to welcome your guests.
• The order of play and starting of the field.
• Scoring function and determination of prize winners.
• Arranging for placement of branding in selected areas.
• Co-ordination of a Master of Ceremonies should this be required.
• Complete budgeting formalities with your company settling one invoice to Seasons Golf Club prior to the day.
• The club Marshalls do have authority over speed of play and must always be respected.
We need your complete tee-off time sheet for players/Alphabetical guest list (to ensure easy access at security)
The following will be provided for your prize giving:
• Standard furniture
• Standard glassware
• Standard black table cloth
• Standard PA system and prize table
• Standard cutlery and crockery will be provided.
• Numbers are limited to a maximum of 128 players (shotgun start)
• Prices are subject to change without notice.
• Bookings will only be accepted and confirmed once a 50% non-refundable deposit has been paid accompanied by a signed golf day agreement.
Final numbers for golf and catering need to be confirmed seven (7) days prior to the scheduled event and an invoice will be issued for immediate payment, unless otherwise arranged through Seasons Golf Club Management
TWO DAYS prior to your golf day, you will send us a name-list of any people who will be assisting as well as attending the prize-giving on the day. Entrance will be monitored by security at the main gate.
1) Renter and Drivers must be 16 years of age. No person may drive a golf cart unless they are in possession of a valid driver’s license, motorbike license or provisional drivers license.
2) Golf carts must be operated at all times in a safe, respectful manner. Irresponsible or any dangerous activities will not be tolerated; will be immediately suspended.
3) Carts must stay under the speed limit and stay on golf course facilities, no nature trails.
4) Carts must only carry the amount of passengers the carts allow: 2 players per cart.
5) Carts must be returned at the designated area.
6) Please report any issues or malfunctions immediately to office.
7) Anyone found abusing the rules will forfeit rental and no returns; any damage the renter occurs will be responsible for all repairs. The renter is liable for any damage to any property.
RELEASE OF LIABILITY, WAIVER OF CLAIMS, ASSUMPTION OF RISKS AND INDEMNITY AGGREEMENT. BY SIGNING THIS RELEASE AGREEMENT YOU WILL WAIVE OR GIVE UP CERTAIN LEGAL RIGHTS, INCLUDING THE RIGHT TO SUE OR CLAIM COMPENSATION FOLLOWING AN ACCIDENT
SEASONS GOLF CLUB and their Directors, officers, employees, agents, independent contractors, subcontractors, representatives, organizers, and volunteers will be referred to as the RELEASEES.
In this release Agreement the term Activities shall include all activities, events, services or use of facilities provided and all equipment and property of SEASONS GOLF CLUB.
Assumption of Risk: I am aware that participating in the Activities involves many inherent risk, dangers and hazards, including but not limited to changing weather conditions, natural objects, impact collision with persons property. I am aware that none of the Risks, Dangers and Hazards of the activities is negligence on part of the Releasees, including the failure of the releases to safeguard or protect me from the risks, dangers and hazards of the activities, some of which are referred to above. I freely accept and fully assume all such risks, and Hazards of the activities and the possibility of personal injury, death, property damage or loss resulting therefrom.
I AM AWARE OF THE RISKS, DANGERS AND HAZARDS ASSOCIATED WITH THE ACTIVITIES AND I FREELY ACCEPT AND FULLY ASSUME ALL SUCH RISKS, DANGER AND HAZARDS AND THE POSSIBILITY OF PERSONAL INJURY, DEATH PROPERTY DAMAGE AND LOSS.
TO WAIVE ANY AND ALL CLAIMS THAT I HAVE OR MAY IN THE FUTURE HAVE AGAINST THE RELEASEES FROM ANY AND ALL LIABILITY THAT I MAY SUFFER OR THAT MY NEXT OF KIN MAY SUFFER AS A RESULT OF THE ACTIVITIES AT SEASONS GOLF CLUB IN IN SOUTH-AFRICA
By booking a cart online or in the pro-shop you accept the terms and conditions stated above.
Seasons Golf Club will not, under any circumstances whatsoever, be liable for any damages, loss or injury of any nature whatsoever and/or from whatsoever cause arising, which may be sustained by any person and/or In respect of any property, whilst in/or upon the Club’s property.
